While I have to do a meeting with my team, but I'm putting off because the agenda is buzzing! In addition, I have the feeling that they are a waste of time, because we started talking, and talking, and everyone says things and in the end we specify anything. Conclusion: I stopped doing them.
Although this may be the general feeling on meetings with staff, carry them out is much more important than we suppose.
Planning the agenda for the week. Organize the activity and ensure you have control and the resources needed. The views of customers and agree on how to proceed in different situations. Review the operation of the previous week. Discuss the issues that need improvement. Plan your holidays and local festivals.
Really, get in the habit of making regular staff meetings just a matter of taking two decisions:
- Lock the agenda.
The first step requires making a list of topics, prepare beforehand and think about how they want to address and what you want to achieve with it. Not improvise. Nor want to address all the issues that have long outstanding. Should standardize the topics and set the order in which they will present and discuss. This will prevent disorient the audience.
Always lock the agenda the day and time to be established. We recommend that it is always the same day at the same time (early Monday morning, for example). No more than half an hour is needed to conduct a meeting prepared.
Management meeting should be aggressively trying the points without wasting too much on them, making the word, but leading the meeting by the drawn line, without deviation. And finally, it should take notes and write down the points that have not been resolved at the meeting.
With these meetings several goals are achieved:
- Communicate issues once and for all in the same way (no different interpretations).
- Planning the agenda so that everyone is aligned with what is going to do.
- Pooling and improve those aspects that we think might work better. The solution, to be participated by all attendees guarantee its execution.
- And, above all, create team by pooling achievements, difficulties, involve and communicate objectives.
Although it seems that the meetings are useless if they are periodic, are well prepared, they are agile and participatory and taken seriously, in a short time will become essential for proper clinical management. Start may seem arduous, but the result is worth the effort.
